Royal Stallions
Privacy Policy
Draft — being finalised. This page will explain how the club handles the details you send through this website. The questions below are for the club to answer; the final policy will replace them.
Who is responsible
- What is the legal name of the organisation that runs this website (company, registered club or person), and its address in the UAE?
- Which email address and phone number should people use for privacy questions, or to ask for their details to be corrected or deleted?
What we collect and why
- The site collects: contact messages (name, email, phone, message); Join the Club requests (name, date of birth, gender, profession, phone, email, UAE and home-country addresses, riding experience); and, from November, event registrations. Is anything here not needed, or is anything missing?
- Will these details be used only to reply and to run club activities, or also for newsletters, WhatsApp groups or marketing? If marketing, should people tick a separate box to agree?
Who sees it and for how long
- Which club roles can see form submissions (e.g. owner only, committee, event staff)?
- Will details be shared with anyone outside the club — riding stables (such as M11 Stable) for eligibility checks, instructors, insurers, sponsors or partners?
- How long should each kind be kept? We suggest: contact messages 12 months; Join the Club requests until membership is decided plus 12 months; event registrations deleted 90 days after the event.
- Data is stored with Cloudflare, whose servers may be outside the UAE. Is that acceptable, or has your legal adviser asked for anything specific under the UAE data protection law (PDPL)?
Children and sensitive information
- From what age can someone fill in a form themselves? Below that age, a parent or guardian must submit it — please confirm.
- For Riding for Everyone (People of Determination), who may see support or medical information, and should it be deleted sooner than other details?
Photos, cookies and tracking
- Will people be photographed or filmed at rides and events? Where are photos published (website, Instagram, press), and how can someone ask not to be shown or to have a photo removed?
- The site currently uses no advertising or tracking cookies, only what is needed to sign in to the admin. Do you plan to add Google Analytics, Meta Pixel or similar? If not, the policy will say so.
